Follow steps to effectively use a workflow. 

A workflow streamlines the process of task management by providing a structured approach to assigning, tracking, and completing tasks. By defining roles and responsibilities clearly, Contributors can concentrate on completing tasks while Supervisors and Owners take care of approvals and supervision. Use the Workflow Task List to monitor progress and update tasks, enhancing productivity and collaboration within teams.

It displays Tasks along with their corresponding details such as Owner, Contributors, Supervisors, Due Dates, Status, and Percent Complete.

As a Contributor, you can use this view to complete your assigned tasks. Contributors can't approve or reject tasks, only the Supervisors or the Owner may perform these actions. 

Similarly, neither Supervisors nor the Owner can access any forms to complete the work, as this is available to the Contributors only.

Select the Workflow module to display the Contributor View. All tasks for the user are displayed. The status column shows the status of the task. You can now update the IN PROGRESS or OVERDUE tasks.

To update a task:

  1. Select once anywhere on the task line. An Update pane is displayed to complete the task.
  2. The update pane displays different information as it depends on the type of task you need to complete. In general, each task update pane consists of:
    • Name of the task.
    • Owners, Supervisors, and Contributors assigned to the task.
    • Task due date.
    • Links to files relevant to the task.
    • A Percent Complete slider that can be used to indicate the percentage complete in Workflow reports. If you have only partially completed the task, for example you have input only 75% of the data required, you can use the slider to mark the task as 75% complete. If you have fully completed the task, you may move the slider to 100%.
    • Action buttons relevant to the task.

Data Input Task

Data Input tasks are tasks that require user input.

  • For Data Input tasks, select the file icon(s) to open up the data input forms.
  • Input the appropriate data in the form(s).
  • Use the slider to indicate the percentage complete
  • Select SUBMIT if the task is fully complete. It changes the status of the task to COMPLETED.
    • Select CLOSE to close the Update pane. 
File Import Task

These tasks import an Excel or CSV file into the data model.

  • For Import tasks, select UPLOAD to import a file. 
    • Select a file to import when prompted. The selected file will then be imported.
  • Use the slider to indicate the percentage completed.
  • Select COMPLETE if the task is fully complete. It changes the status of the task to COMPLETED
    • Select CLOSE to close the Update pane. 
File Export Task

These tasks run an SQL query to export data from the database to a file.

  • For Export tasks, select File to export the file to your local drive. 
  • Use the slider to indicate the percentage completed.
  • Select COMPLETE if the task is fully complete. It changes the status of the task to COMPLETED
    • Select CLOSE to close the Update pane. 
To Do Task

An offline manual task is a To Do task. These tasks have instructions and are completed like any other task.

  • For To Do tasks, follow the instructions noted in the Description field. 
  • Use the slider to indicate the percentage completed.
  • Select COMPLETE if the task is fully complete. It changes the status of the task to COMPLETED. 
    • Select CLOSE to close the Update pane. 
Report Task

It allows a user to view a report.

  • For Review tasks, select on the file icon(s) to review the report(s). 
  • Use the slider to indicate the percentage completed.
  • Select Approve to approve or reject the data. It changes the status of the task to completed. It changes the status of the task to COMPLETED. 
    • Select CLOSE to close the Update pane. 
Review TaskIt allows the user to decide whether to approve or reject the previous step in the workflow.
