You can run a create action from a dashboard to create a new item in a numbered list or list item subset.

Some Create actions are configured to open another dashboard after the new item or items are created. This enables you to perform the next steps in your workflow.

A workspace administrator must set up a create action before you can run it.

Depending on how the workspace administrator sets the action up, you may receive a prompt to:

  • Select a parent item or items
  • Restrict the items that display in any view on the target dashboard

If you're prompted to select a parent and choose not to, the parent item defaults to the parent item you've most recently interacted with on the source dashboard. Similarly, if there's no prompt to select a parent, the parent is determined by the parent item with which you've most recently interacted. 

If you've not interacted with any parent items, the first item in the parent list becomes the parent.

Note: If you select multiple parent items, the action creates a different new item under each parent you select. If the target dashboard displays a list property or selected line item for input, you need to select the relevant list item to determine which list item to update. Otherwise, any new data you enter updates the first item in the list.

To run a create action:

  1. Navigate to the dashboard that contains the Create action.
  2. Select the Create action.
    The workspace administrator who creates the action can choose text for the button label that suits your use case. The label name should follow best practice name conventions to help you identify it.
    1. If the action prompts you to select a parent or parents, select the items you want to act as a parent or parents for the new item or items. To select multiple parents, either:
      • Select one item, hold down Shift, then select another item and release Shift.
        The two items and all items between them are selected.
      • Select one item, hold down Ctrl (PC) or Command (Mac), and select as many other items as you want, then release Ctrl or Command.
        All items you select are selected, but not the items in between, unless these were selected previously. 
    2. Select the arrow that points right to move the items to the right-hand field.
    3. Select OK.
      The new item or items are created and the target dashboard opens.
      If you selected more than one parent, the action creates a new unique item to be the child of each parent you selected.
  3. If the action prompts you to restrict the selection to only show recently created items, select:
    • Yes to restrict the dashboard view to the items the action created.
      You can right-click on the view and select Show All to display all items again.
    • No to display all items in any view on the dashboard.

You can now enter additional information for the new item or items on the target dashboard.
