User administrators can assign and manage licenses for internal and visiting users in the Administration console.

Each license type you purchase has an allocated number of seats you can assign to users. You can use the Summary page to view how many seats you have assigned, and how many seats the license types have left.

For example, this image of the Summary page shows the Planner license type is over the limit of seats assigned. The User licenses section in the right-side panel shows that 73 of 70 seats were assigned to that license.

The Administration Summary page with the User license section expanded in the right-side panel.

The image above is an example of what might display on your Summary page. The information that displays depends on your license terms and purchases.

You can assign user licenses when you create new internal users. Once a license is assigned, you have the option to modify the assigned license.

You can assign user licenses when you invite visiting users to your tenant. Once a license is assigned, you have the option to modify the assigned license.

Note: If any internal or visiting users don't have licenses in your tenant:

  • They are automatically assigned the lowest-level user license per your contract.
  • You can modify the license type after the auto-assignment.
  • There's no penalty if the auto-assignment pushes you over your license limit.
