The enhanced Journals module streamlines your workflow and saves time by automating recurring journal entries and intelligently managing auto-generated lines. Additionally, it enhances your day-to-day control and auditability by retaining preferred query parameters and assigning a unique journal entry ID for each JE across multiple Journal Configurations.

Journal rearchitected and Auto-generated lines

Unlike the legacy version, which was generated at the model level, these rows are now part of the journal entry details. They have a journal entry ID for each journal entry across multiple Journal Configurations. Auto-generated rows appear sorted by the dimensions' order as per the journal entry configuration. Header values filter the auto-generated rows. 

Auto-generated lines include:

  • Examples of auto-generated lines include Current year net income from P&L accounts, closing balance from movements of balance sheet accounts, etc. These rows are generated or updated when the journal is saved.
  • Variation movement for balance sheet accounts with closing balance.
  • Closing movements for balance sheet accounts on other movements.
  • Performs an unallocated difference calculation for intercompany and Other type dimensions. 
Managing auto-generated lines

On the Details toolbar, users can show or hide auto-generated rows by selecting the Hide/Show Auto-generated Lines icon. 

  • The icon's default behavior is controlled by the DisplayJEAuto-generatedLines Global variable, which is set to True
  • These rows are non-editable, can't be duplicated or copied, and are marked with a locked icon. 
  • They update automatically when you save the journal entry.
Automatic posting of recurring JEs             
  • Recurring journal entries can be automatically posted based on system-level settings. 
  • This function is available for recurring journal entries. They can be auto-posted when the Copy recurring JE process is executed by setting the global variable AutoJEPostOnCopy to True. The default value is set to False. When set to False, new recurring journals created in the target period will be in the saved state after the Copy recurring JE process is executed.
Balance check with auto-generated lines

Balance check 

is available in the upper-right corner of the details panel. It excludes debit and credit balances from any auto-generated rows.

Copying, exporting, and importing journals           
  • When copying a journal, auto-generated rows are copied but remain locked. 
  • When you export journal entries, automatically generated rows are included or excluded based on the Hide/Show AutoGenerated Lines icon. 
  • The exported file has a column, Autogen, which is set to Y for system-generated rows and N for normal rows.
  • During import, the system ignores any rows flagged as auto-generated in the file and creates new ones based on the manually entered data.
Unique JE ID retained over timeEvery journal entry is assigned a unique, journal entry ID across multiple journal entry configurations. This functionality improves traceability and simplifies the auditing process.
